Reservation Policies
Reservations; Deposit Requirements:
An advanced rental payment of 50% (Initial Deposit) is due at time of booking and is nonrefundable. The final rental payment is the balance of rent, taxes, and other charges related to the reservation (Final Payment). The Final Payment is due fourteen (14) days prior to the arrival date.
Payment Methods:
A valid credit card is required at the time of booking to confirm the reservation. Credit cards accepted are Visa, MasterCard, Discover Card and American Express. At check-in, the credit card on file will be verified and an authorization placed on the credit card to allow Guests to charge incidentals to their units. Check-in will not be allowed without a valid credit card on file.
Cancellation Policy:
Cancellations made more than fourteen (14) days prior to arrival date will result in a loss equal to the Initial Deposit. Cancellations within fourteen (14) days of arrival date, no shows or early departures after check-in, will result in a loss of the entire rental amount. To protect against the loss of your rental payments, travel insurance is strongly recommended and offered with all reservations on an opt-out basis.
Changes in reservations must be requested prior to the Final Payment due date. Changes to reservations after the Final Payment due date are not permitted.
Travel Protection Insurance:
Emerald Grande has partnered with Red Sky Travel Insurance to provide Sun Trip Preserver© coverage for our Guests. It is automatically calculated and added to your rental rate upon booking. The plan is optional, but we strongly recommend it. In case of unforeseen events, this insurance helps to protect your vacation investment. Hurricane/Tropical Storms:
Should a hurricane or tropical storm threaten our area, we will receive evacuation instructions from the National Hurricane Center and our local governing officials. If a “Mandatory Evacuation” order is given, refunds will only be available through Red Sky Travel Insurance. Insurance coverage must be purchased before the storm was named. Emerald Grande will not issue refunds of any rental payments due to tropical activity.
Signature Service Fee: $45.00 per day.
Administration Fee: $99.00
Taxes:
All rates are subject to Florida state and county taxes. There is a total of 12% tax due on all reservations (7% sales tax and 5% county bed tax).
Check-In Time:
Check-in begins at 4:00 PM (CST). During busy seasons, your vacation rental may not be ready for occupancy until 6:00 PM (CST). We appreciate your patience.
Check-Out Time:
Absolute check out time is no later than 10:00 AM (CST) on the date of departure; NO EXCEPTIONS.
Check-Out Procedures:
All Guests must check out before 10:00 AM (CST) so that our housekeeping staff can clean and prepare units for new arrivals. For check outs past 10:00 AM (CST), a $100 fee for each additional hour thereafter will be applied to the final bill.
Unit Assignments:
We reserve the right to change the unit assignment made during booking. Unit assignments can be requested during booking, but are not guaranteed due to unforeseen maintenance issues or changes in ownership of units. We can only guarantee the number of bedrooms and the number of people a unit may accommodate.
Furnishings and Equipment:
You are renting a privately owned condominium unit. It has been decorated and equipped to satisfy the particular tastes and desires of the owner. Please be considerate of the belongings of the owners and to the people who will be renting these residences after you. Please do not rearrange the furniture or take any items outside that are part of the interior decor. Please do not move any furnishings or kitchen items outside of the unit. Since the units are privately owned, neither the Resort, nor the owner shall be responsible for any additional furnishings not presently in the property. Guest is responsible to the owner of the unit for any damages to the unit, furnishings, household items, and equipment excluding the normal wear and tear. Locked closets are maintained by the homeowners for personal use. Please respect these areas. Guests causing damage to units or attempting to access locked areas will be subject to immediate termination of their stay with a forfeiture of all rental payments and immediate removal from the Resort.
Smoking:
All of our residences are NON SMOKING! There are designated smoking areas within the Resort. If you smoke in any unit, your credit card will be charged an additional $250.00-$600.00 (deep clean fee) depending on the size of the unit.
Repairs:
Our maintenance and housekeeping staff are here to make sure your vacation rental unit is in the best condition that it can be. If you should discover otherwise, please report it to us immediately and we will correct it as quickly and smoothly as possible. However, no refunds will be given for appliance failure or other circumstances beyond our control. Please do not wait until your departure time to inform us about problems, as we no longer have the opportunity to rectify the situation. At times, we must wait for parts or service. Please bear with us during these times. A member of our maintenance department team may enter the unit during normal business hours for any purpose pertaining to repair, improvement, care, and management of the unit or the Resort. We will try to notify you, if at all possible, in as far advance as possible of any entry.
After Hours Emergencies:
There is Resort staff on call 24 hours a day for emergencies – call Front Desk, Security or 911. Non-emergencies will be logged and handled during normal business hours.
Long Distance Calls:
There is a long distance block on all unit phones. You will need a calling card to make a long distance call from the unit. Local calls and 800 calls are free.
Parking:
There is complimentary garage parking for guests of the Emerald Grande. Parking for boats, trailers, jet skis, campers, motor homes, and buses is not allowed on property. If travelling with one of these items, please make arrangements to park off-site.
Lost and Found:
The Emerald Grande cannot be responsible or liable for any personal items that are left behind. The Emerald Grande has a “Lost and Found” department. Items that are recovered may be shipped to their rightful owner, at the owner’s expense. Please call 850-974-5959 to recover items left behind.
Occupancy:
Units at the Emerald Grande are for rental to family groups and responsible adults ONLY. The total number of persons allowed in the unit at any time is restricted to the limit stated for each unit. No units will be rented to vacationing students or single adults under 25 years of age, unless accompanied by a responsible parent or guardian. We are very serious about maintaining a family atmosphere for the quiet enjoyment of all our guests.
During the Spring Break Season, we require one parent for every two persons under the age of 25 in the unit. A PARENT MUST BE STAYING IN THE UNIT AT ALL TIMES. UNITS ARE MONITORED FOR VIOLATION OF THIS POLICY. This policy covers parents who do not check-in, or who leave the unit overnight during the length of the Reservation. NO EXCEPTIONS!
No parties, weddings or gatherings are allowed without prior written permission from the Emerald Grande. Absolutely no student groups or house parties will be tolerated. Occupancy of common areas shall be quiet and peaceful so as not to disturb other guests.
ALL VIOLATORS WILL BE EVICTED, FORFEIT ALL RENTAL PAYMENTS, AND ADDITIONAL CHARGES WILL BE APPLIED. RESERVATIONS MADE UNDER FALSE PRETENSES ARE NULL AND VOID, AND CHECK-IN WILL NOT BE ALLOWED WITHOUT VALID PHOTO INDENTIFICATION WITH PROOF OF AGE.
Pets:
We all love our pets and we know you do too, but they are not permitted to stay at the Emerald Grande. If a pet is discovered in a unit, your credit card will be charged an additional $250.00-$750.00 (deep clean fee) depending on the size of the unit. If you must bring a pet, prior boarding arrangements with a local kennel will need to be made in advance. Please call our Emerald Grande Concierge or a Guest Service Representative for local pet boarding information.
Residences for Sale:
In the event the unit you are renting is listed for sale, we may need to show the unit during your visit. We will make every effort to schedule the showing at a convenient time, so we do not disrupt your vacation.
Guest Obligations:
You agree to comply with all obligations imposed on you in the Reservation Agreement, these Terms & Conditions and under law with respect to maintenance of the units, including but not limited to the following: (a) keep the unit as clean and safe as the conditions of the unit permit, and cause no unsafe or unsanitary conditions in the unit, common areas and remainder of the Resort you use; (b) dispose of all rubbish, garbage and other waste in a clean and safe manner; (c) keep all plumbing fixtures in the unit or used by the Guest as clean as their condition permits; (d) not deliberately or negligently destroy, deface, damage or remove any part of the unit or render inoperable the smoke alarm; (e) comply with all obligations imposed on Guest by current applicable building and housing codes; (f) be responsible for all damage, defacement or removal of any property inside the unit that is in your control; and (g) notify the Resort promptly of the need for replacement of or repairs to any portion of a unit, including but not limited to a smoke detector. You agree not to use the unit for any activity or purpose which violates any law or governmental regulation; to use the unit for residential purposes only; and not to exceed the occupancy limits of the unit. You also agree to assure compliance by you and those staying with you with all COVID-19 and other disease control measures such as social distancing and wearing of masks as required from time to time by the Emerald Grande.
Indemnity:
East Pass Investors LLC, dba the Emerald Grande, will not be liable for any damages to the rental property of, nor for injuries resulting from any accident that may occur in or on the premises during the guest’s occupancy. East Pass Investors LLC, dba the Emerald Grande will not be held responsible for acts of theft, vandalism or other damages to the guest’s personal items left in the residence. This constitutes a written agreement between “Renter” and East Pass Investors LLC, dba the Emerald Grande. Upon violation of the terms of this agreement, East Pass Investors LLC, dba the Emerald Grande may terminate this agreement and enter said premises. Upon notice of termination, “Renter” shall vacate the premises IMMEDIATELY. All funds received by East Pass Investors LLC, dba the Emerald Grande will become East Pass Investors LLC, dba the Emerald Grande property for damages and services rendered.
Violations of Terms & Conditions:
Violations of any part of these Terms & Conditions, or of the term of the Reservation Agreement, shall be considered material and will result in immediate termination of the rental stay, forfeiture of all rental payments, imposition of additional charges and immediate removal from the Resort. Emerald Grande reserves thee right to refuse future reservations to guests who violate the Rental Terms & Conditions or Reservations Agreement.
